Open Position Title: Office Assistant
Essential Functions:
• Recertifications monthly for tenants in building. This includes meeting with residents, calculations, and functions associated with the process.
• Process interim certificatons as needed.
• File quarterly security account statements in tenant files.
• Maintain office supply inventory and order supplies as needed.
• Update birthday list and create/deliver a card to the tenant on their birthday. *This includes handling the Holiday card exchange.
• Assist with facility newsletter offering information.
• Post obituaries if families allow. Compose if needed.
• Coordinate/assign floor captains.
• Maintain accurate and current phone lists for residents, staff and emergency personnel.
• Maintain key FOB system.
• Must keep Director informed on a daily basis of residents who have been admitted to hospital, re-hab, nursing home, etc. Log the information to hand in.
Additional Responsibilities:
• Assist tenants with paperwork as needed.
• Answer phones, take messages and assist callers.
• Type reports, letters, memo’s and file all documentation as required.
• Reporting and documenting all incidents and forwarding to the Director.
• Respond in a timely manner to all emergency situations, if no one else is available.
• Assist and attend resident functions as required.
• Make copies for residents as needed.
• Assist residents with basic questions and other general areas as requested.
• Attend and participate in workshops and seminars as required and as necessary.
• To keep up to date of current changes in regulations, systems/services for residents.
• Provide back-up for Administrative functions as directed by the Director.
• Enter work orders into computer system as they are reported.
• Demonstrates the ability to function as a team member in sharing responsibilities with other staff members.
• Maintains a high level of integrity and professionalism, withholding confidential personnel and health related issues of residents from other residents who may show an interest or request information. Does not promote gossip among residents and refrains from engaging in these conversation with residents.
• Maintain confidentiality of resident information.
• Other duties as related to the essential functions of the job as assigned by Management.
Job Requirements:
Must be able to read, write, speak and clearly communicate.
Computer experience is required, knowledge of Microsoft Windows Products, Microsoft Word, Excel, Power point, etc.
Must be able to maintain a calm, positive and professional manner in dealing with staff, residents, family members, visitors and vendors at all times.
Must possess a high degree of interpersonal skills and the capability of relating to a variety of people, personalities, physical and mental limitations and issues.
Must possess strong organizational and time management skills. Considerable initiative, judgment and leadership skills are required.
